Privacy notice
This notice explains how Essence Technologies Ltd uses personal data when you visit essence.digital, send us an enquiry, use our investor area, or receive an email from us. It does not cover the Essence platform itself, where people keep and share their own data under separate terms.
Last updated: October 2026.
Who we are
Essence Technologies Ltd is the controller of the personal data described here. We are registered in England and Wales, company number 16764903, at 71 to 75 Shelton Street, Covent Garden, London WC2H 9JQ, United Kingdom.
For anything about this notice or your data, email hello@essence.digital.
When you visit this website
Our public pages set no cookies, run no analytics and load no advertising or tracking scripts.
Like any website, our web server records each request it receives: the address requested, the time, your IP address and the browser details your device sends. We use these records to keep the site running and secure, for example to investigate errors and stop abuse. Our lawful basis is our legitimate interest in operating a secure website.
When you send us an enquiry
If you use the enquiry form, we collect your name, email address, organisation, the area you are interested in, your message, and the IP address the form was sent from. We use them to reply to you and to follow up on your enquiry, and the IP address to stop the form being misused.
We send you an acknowledgement by email, and your enquiry reaches our team by email.
Our lawful basis is your consent, which you give by ticking the box on the form. You can withdraw it at any time by emailing hello@essence.digital, and we will stop using your details for your enquiry. Using the IP address to prevent misuse rests on our legitimate interest in keeping the form secure.
When you use our investor area
If you request access to our investor materials, we collect the details you give us: your name, email address, organisation, role and country, and, if you provide them, your phone number, address and regulator. If you sign a non-disclosure agreement, we keep the signed agreement. While you use the data room, we record which documents you open or download and when, together with the IP address and browser details, so that we can secure confidential material and understand which information is useful to investors.
Our lawful basis is our legitimate interest in running an investment process and protecting confidential information, and, for the non-disclosure agreement, taking steps at your request before entering into an agreement with you.
If we have emailed you
We contact people at organisations that may be interested in Essence, such as investors and public and private sector bodies. For this we hold business contact details: your name, role, organisation and work email address, taken from public professional sources such as your organisation's website, together with our notes on our contact with you.
Our emails can tell us whether a message was opened and whether a link in it was followed. When you follow a link to our site from one of our emails, we record the time, the IP address and the type of device, so that we can tell genuine interest apart from automated email scanners.
Our lawful basis is our legitimate interest in introducing Essence to organisations it may be relevant to. You can ask us to stop contacting you at any time, by replying to any of our emails or writing to hello@essence.digital, and we will not contact you again.
Cookies
We use three cookies, all strictly necessary for features you ask for, and none on our public pages:
- essence_ref is set when you open a personal invitation link, so that your request for access is matched to the invitation. It is removed when you register.
- essence_dr_session keeps you signed in to the investor data room.
- essence_admin keeps our own staff signed in to our console.
We do not use analytics, advertising or social media cookies.
Who we share data with
We do not sell personal data, and we do not share it for anyone else's marketing.
We use service providers who process data on our behalf and under our instructions:
- Resend sends our emails, including enquiry acknowledgements and outreach.
- Microsoft provides our email and office services through Microsoft 365.
We may also disclose data where the law requires it, or to professional advisers bound by confidentiality.
Data outside the UK
Some of our service providers may process data outside the United Kingdom, including in the United States. Where they do, we rely on the safeguards UK data protection law provides for international transfers, such as adequacy regulations or the International Data Transfer Addendum to the European Commission's standard contractual clauses.
How long we keep data
- Enquiries: up to two years after our last contact with you, unless we enter into a relationship with you or your organisation.
- Outreach contact details and notes: up to two years after our last contact with you, or sooner if you ask us to stop.
- Investor area: for as long as the investment process runs, and afterwards as long as we need to keep records of it. Signed non-disclosure agreements are kept for as long as they are in force and for six years after.
- Web server records: for a short period, then deleted.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct data that is wrong or incomplete;
- ask us to delete your data;
- ask us to restrict how we use your data;
- object to our use of your data where we rely on our legitimate interests, including for direct contact;
- ask us to give you your data in a form you can pass to another organisation, where that applies;
- withdraw your consent at any time, where we rely on it.
To use any of these rights, email hello@essence.digital. We will reply within one month.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk. We would welcome the chance to put things right first.

We will update this notice when how we use personal data changes, and change the date at the top.
